Preparing AP exports that auditors can actually use
A remittance export with missing vendor codes costs more time than a polite delay while the file is rebuilt. Controllers who prepare clean extracts keep sampling windows honest.
Columns that matter
Include vendor legal name and code, invoice number, invoice date, payment date, gross amount, tax, currency, purchase-order number, and cost center if your chart uses one. Drop narrative memo fields that wrap into multiple cells — they break joins.
Credits and voids
Export credit notes and voided payments in the same file or a clearly labeled twin. Auditors who only see gross invoices will overstate exposure and waste a briefing correcting themselves.
Date ranges
Align the export to the contract years under review, plus one quiet month on either side. Edge effects around fiscal close often explain odd batches better than fraud hypotheses.
File format
CSV or XLSX without merged header rows. Password-protect if policy requires it, and send credentials through a separate channel. Our Taichung team will confirm receipt within one business day during office hours.
